Your first consultation
Recording, reading along, generating the Note and confirming what goes into the record. Pamela proposes, you confirm.
What you see in a record
Above the tabs sits a row of quick statuses. Each chip shows at a glance whether there is anything: Medication, Allergies, Conditions, Tasks, Measurements and Messages. If it says None known or Nothing yet, nothing has been recorded.
If a record is still empty, it says: Nothing in this record yet.
On Calls: if a caller objected to being recorded, no transcript and no audio were kept. That is stated there.
Starting the consultation
- Open the client and click New note. Recording and transcription start straight away.
- The consultation is called Untitled consultation at first. That changes by itself later.
There is no separate start button. A new note begins recording immediately.
Choosing the right template
A template decides which headings end up in your Note. The template is the instruction, the Note is the result.
- Click Templates at the top of the consultation.
- Choose the template that fits this consultation.
- If you are not sure, leave Auto-Template selected. Pamela then chooses for you.
Working on while it records
You can do something else on your laptop during the consultation. Look something up or open another screen and the recording keeps running. You then see a small floating window with the timer and a pause button, which stays above your other programs.
That window shows that recording is still going, even when Pamela itself is not in view. You can drag it somewhere out of your way.
Recording does not stop when you switch screens. If you really want to record nothing for a moment, use the pause button.
Reading the transcript along
- Click the button with the timer and the pause button. The transcript opens and runs along.
- Click it again to close it.
- Copy transcript takes the text somewhere else.
As long as nothing has been said, it says: Start speaking to see the live transcription.
The transcript is a literal record of what was said, with the errors that come with that. It is not a report.
If you work in a room with other people, keep the door closed and pause when someone comes in. Transcribe other voices also picks up conversations that are not yours.
Generating the Note
- When you are done, click Generate notes.
- Pamela writes the consultation up following your template. Allow around half a minute.
- The consultation gets a title automatically, taken from the conversation. If you do not like the title, change it.
Generating also fills in your record. Conditions and tasks that came out of the conversation appear in the status bar. So check those along with it.
If you do not want to keep the recording, click Cancel recording. Recording stops and your notes are erased.
Switching template, even after the Note is done
If it turns out you had the wrong template, you do not have to record again.
- Click Templates and choose another template.
- Pamela writes the Note up again, now with that template's headings. Your recording stays.
The title in the timeline does not follow along. If you want to change it, change it yourself.
Adding your own text to the Note
The Note is not a closed report. The whole report is an editable field, so you can click in anywhere and type.
- To add something to a section, click after the last bullet of that section and carry on typing.
- At the bottom you can add a line with Add line.
What you add yourself is your text. Pamela does not touch it again.
Confirming the clinical data
At the bottom of your Note sits an orange block: Extracted clinical data. That is where Pamela puts what she picked up from the conversation as a clinical fact, with a counter of how many there are.
- Go through the rows. Each row shows the condition, the status and the start date.
- If it is right, click Confirm all. One click confirms the whole list, however long it is.
- If something is missing, use Add row.
As soon as you confirm, the block turns green. So you can see at a glance whether something is still waiting for you: orange means check, green means done.
This is the point where you become responsible for what is in the record. Pamela proposes, you confirm. Until you confirm, it stays a proposal.
Tasks that come out of your conversation
Pamela pulls arrangements out of your conversation. Say you will see the client again in three weeks and that appears as a task in the record, with the sentence from the transcript alongside so you can check what it is based on.
- If it is wrong, delete the task.
- You can create a task yourself with Add task.
The source being visible is the important part: you can check why a task is there.
Every recorded consultation also puts an appointment in your calendar itself, at the moment you recorded.
