Managing your clinic
Your organisation, your team and their permissions, your templates and your questionnaires. The work a super user does once, for everyone.
Switching between organisations
- Click Organisation in the icon bar.
- The name of your current organisation sits at the top of the left panel. Click it to switch.
- If you belong to several organisations, this is where you choose which one you are looking at.
What you see on the overview
- Organisation details: name, address, phone, email, postcode, speciality and the type of organisation. You change them with Edit details at the top right.
- Team members: who works in this organisation, with their role and whether they are active. All members takes you to the full list.
- Recent activity: what has happened in the organisation. The full trail sits under Audit log.
Permissions per member
Every user has their own permissions. The super user of your organisation manages them.
- Click Members on the left, then Members.
- For each member you see the role, whether they have clinical access, their status and their last activity.
- Click the pencil at the right of the row, Edit member.
- The role sits at the top. Below it are the permission bundles, each switched on or off separately.
The eleven permission bundles: Clinical access, User management, Billing and finance, Patient payments, Analytics and reporting, Technical administration, Location management, Organisation settings, Referral management, Secure messaging, Care billing (ZPM).
If a member has no profession filled in, you see No profession yet, consultations not billable. Without a profession, nothing can be billed.
Viewing, creating and editing templates
A template decides which headings end up in a Note. The template is the instruction, the Note is the result.
- Click Templates in the icon bar.
- On the left you choose what to look at: Consultations, Sections, Shortcuts, Letters, Questionnaires or Library.
- For Consultations, Sections and Shortcuts you then choose the level: Personal, or one of your organisations.
- Your favourites sit at the top, all templates below them. Each name shows the number of sections and when it was last changed.
- You can search with the Search templates field.
Hover over a template and four actions appear: Edit, Select, More template actions and Add to favourites. Select puts a template ready for the next consultation.
- Click New template for an empty one, or use Import if you already have one.
- To edit, hover over the template and click Edit.
- The top shows where it is stored, for example your clinic library. That decides who can use the template.
- The sections sit under Note structure. Per section you change the name, choose Required or Optional, add an instruction about what belongs in that section, drag to reorder or delete the section.
- Add section adds one. A live preview runs along on the right.
- Done? Click Update template. If you want to change nothing, click Cancel.
An optional section stays empty if nothing was said about it during the conversation. A required section does not force anything, but it does instruct Pamela to write something about it.
An example. End evaluation has three sections, each with its own instruction.
Managing questionnaires
Questionnaires do not live in the record but under Templates, in the Questionnaires category. Per category you choose a level: Personal, or one of your organisations.
You create a new list with New questionnaire, or bring one over with Import. A list without questions reports: This questionnaire has no questions yet.
Administering a questionnaire
- Open the client and click the Measurements tab. The Administer questionnaire screen opens on the right.
- Choose the list you want to administer. The version number sits next to each name.
- Fill in the questions. The top shows how many you have done. Previous takes you back.
- When you are done, fill in the measurement date and click Save score.
- Pamela works out the score, including reversed items and subscales, and puts it on the measurements card. You see the result with its range.
- Click Done.
If you would rather have the client fill the list in, click Hand to client. You can do that halfway through as well.
Review answers lets you go through the answers once more before you save. Some lists have no total score. Then it says: No total score, the subscales are the result.
