Your account and settings

Signing in, your three languages, permission to record and what happens to that recording. The same for every setup, and you only do it once.

Signing in

  1. Enter your email address in the Email address field.
  2. Click Continue with email. Pamela sends you a code.
  3. Open your mailbox and take the code from the email from Pamela.
  4. Enter the code in Enter verification code and click Verify code.

If you use Google or Microsoft, choose Continue with Google or Continue with Microsoft instead. That skips the code.

Note

If you created your account with Google or Microsoft, you have to sign in through that provider. The Verify code button stays grey until you have entered a code. No email? Check your spam, or click Resend code.

2

Setting your languages

Pamela asks for three languages. Know what each one does before you change it.

App language
The language the Pamela interface is shown in.
Transcription language
The language you speak during consultations.
Summary language
The language your Notes are generated in.
  1. Check that all three are set to the language you want.
  2. Click Continue to Pamela.
Note

You can skip this step with Skip for now. You can always change it later under Settings, Language tab.

3

Giving permission to record

This is the step you cannot skip. Without a microphone, AI Notepad cannot listen in.

  1. Next to Transcribe my voice, click Enable microphone.
  2. Your computer then asks for permission itself. Allow it.
  3. Check that Transcribe other voices is on. You need it so your client is transcribed too.
  4. Click Next.
Note

The Next button stays grey until the microphone is on. You cannot get past this step without it.

The window your computer uses to ask for permission looks different on every machine. Follow what it says and allow it.

The third toggle, Show Pamela at login, is not about sound. It opens Pamela automatically when you start your computer. Turn it off if you do not want that.

4

What happens to your recording

Pamela works with client data, and the same rules apply as for your record. Pamela is certified to NEN 7510, the Dutch standard for information security in healthcare, and to ISO 27001. Processing follows the GDPR.

In practice it works like your EHR: data is processed so you can deliver better care, and for nothing else.

What has been agreed for your practice about data storage is set out in your service agreement. The super user of your organisation can tell you everything about it.

5

You are in the app

The first thing you see is not a list of clients but a question field: How can I help you today? That is AskPam. You can ask it something straight away, for example through the Today, Recent consultations or What can I ask? buttons.

On the left there is a narrow bar with icons.

Patients
your clients and their Notes
Calendar
your appointments
Organisation
your clinic or practice
Templates
your note structures, letters and questionnaires

At the bottom of that same bar you find Settings and your own initials.

Note

If you work in a clinic, more icons appear in that bar once you are linked to your organisation. Mail, Calls, Finance and Insights are added.

Pamela shows below the answer panel that AI can make mistakes. So you always read a Note through before it goes into the record.

6

Checking that everything is set

Two things that look alike but are not.

  • The permission for your microphone. That is a right you grant on your computer. Without it Pamela cannot record anything.
  • The Audio monitoring toggle under Settings, General tab. That is a feature in the app that watches the sound level live.

So if you only turn on the toggle, you still have no microphone permission. You check your languages under Settings, Language tab.

7

Updating when one is ready

  1. If you see Update ready at the bottom left, click Restart now.
  2. Pamela closes and comes back updated. You stay signed in. If you choose Later, the message stays put.
  3. You can also check yourself: Settings, General tab, Software updates, Check for updates.
Note

Install an update as soon as it is ready. Updates also carry security improvements, and you work with client data.

8

Signing out

  1. Click the round button with your initials at the bottom left.
  2. A menu opens with your name and your email address. Click Sign out.
  3. You are back on the sign-in screen.
Note

You do not need to sign out to close Pamela. Do it if you share the app with someone else, or if you want to work in a different account.
